Missed Call Text Back: A Simple Guide for Owners

Get it set-up for free

Missed call text back is a simple tool. When someone calls your business and you can’t pick up, it sends them a text right away. The text tells them you saw the call and asks what they need. That one text can be the difference between a new customer and a lost one.

This guide covers what it is, why it matters, what the text should say, the rules you have to follow, and how to get it working. Most of it you can do yourself.

What is missed call text back?

It is an automatic text. “Automatic” means you set it up once, and it sends by itself every time.

Here is what happens:

  1. A customer calls your business number.
  2. Nobody answers. Maybe you are on a job, driving, or with another customer.
  3. Within a few seconds, the caller gets a text from your business number.
  4. They text back what they need.
  5. You read it and reply when you are free.

The caller does not have to leave a voicemail or call again. They can answer from wherever they are.

Why it matters

When people need a service, they often call a few businesses. The first one to answer often gets the job. If you miss the call, they move on to the next name on the list.

I’m the same way. Here’s how I put it:

I know without a doubt that whenever I call a company if no one answers I instantly go to the next one. My time is more important than yours so I will go with the person that respects my time. By my time I mean the customers time. If I tried calling someone, no one picked up but I got a text message saying “Sorry I am currently with a customer! Please reply here what your concern is and I will get back to you as soon as I can!” I would probably do that or if it had a link to book as well.

That text does two things. It tells the caller they matter. And it gives them something easy to do right now, instead of calling someone else.

Marketers call this speed to lead. It means how fast you get back to someone who reached out. A “lead” is just a person who might become a customer. The faster you respond, the better your chances.

What should the text say?

Keep it short and friendly. Say who you are, say you will get back to them, and give them one easy next step. Here are three you can copy and change.

1. The simple one

Sorry I missed your call! I’m with a customer right now. Reply here with what you need and I’ll get back to you as soon as I can. - [Your name], [Your business]

2. With a booking link

Hi, this is [your name] from [your business]. Sorry I missed you! Reply here with what you need, or pick a time that works for you: [your booking link]

3. After hours

Thanks for calling [your business]! I’m closed for the day. Reply here with what you need and I’ll text you back first thing in the morning.

A few tips:

  • Use your business name. People get a lot of spam texts. Your name tells them it’s real.
  • Ask for a reply, not a callback. Texting back is easier for them than calling again.
  • Add a booking link if you have one. Some people would rather just pick a time.
  • Set different texts for business hours and after hours. “I’m with a customer” sounds odd at 11 at night.

The texting rules you need to know

This part is important. Skip it and your texts may never arrive.

Register your business for texting (A2P 10DLC). In the United States, phone companies want every business that texts from software to register first. The name for this is A2P 10DLC. “A2P” means “application to person,” so a text sent by software, not typed on a phone. “10DLC” means a normal 10-digit phone number. Registering tells the phone companies who you are and what kind of texts you send. If you don’t register, phone companies can block or filter your texts. Your text-back could quietly fail and you would never know.

Registration is done through your texting software or CRM. It asks for your business details, like your legal business name, and it can take a few days to a few weeks to be approved. There are small fees from the phone companies.

Let people opt out. “Opt out” means telling you to stop texting them. If someone replies STOP, they must not get any more texts. Most CRMs handle this for you.

Keep it about their call. They called you, so a quick text about their call is something they expect. Don’t use this text to send ads or deals. If you want to send promotions later, ask for their permission first.

This is general information, not legal advice. Your texting software’s help pages will have the current rules.

Mistakes to avoid

  • Turning it on without registering. This is the most common one. The text looks set up but never arrives.
  • Never checking the replies. The text promises you will get back to them. If replies sit for days, it does more harm than good.
  • A text that sounds like a robot. “Your call is important to us” sounds like every phone menu ever. Write it the way you talk.
  • Texting your own family and friends every time they call. Most systems let you skip people already saved as contacts, or only text new numbers. Use that if you can.
  • Making the text too long. Two or three short sentences is plenty.

Does your CRM already have it?

A CRM is the software a business uses to keep track of customers. CRM stands for “customer relationship management.” It holds your contacts, your texts and emails, and your appointments.

Many CRMs come with missed call text back built in. If you already pay for one, there’s a good chance you already have it and just haven’t turned it on. Some only include it on certain plans, so check yours.

GoHighLevel (often called GHL) has it built in. Go to your phone settings, open Advanced Settings, then Voicemail and Missed Call Text-Back. Turn it on and write your text there. It is set for each “location,” which is GHL’s word for one business account. If you have more than one business in GHL, turn it on in each one. You can also build it as a workflow. A workflow is a set of steps the software runs by itself, like “if a call is missed, send this text, then tell me.” A workflow lets you do more, like send a different text after hours.

Your calls do have to come through the phone number in your CRM for this to work. If you use a regular business line, you can usually forward calls to the CRM number.

Do you need to pay $97 a month just for this?

No. GoHighLevel’s Starter plan is $97 a month (checked in October 2026). That plan does a lot more than text back missed calls. If this one feature is all you want, paying for a whole system you won’t use doesn’t make sense.

Texting itself also has small costs on top, charged per text by the phone side of the software.

How I can help

Missed calls are one of the first things I look at in any CRM. Catching them is one of the easiest fixes there is.

  • Already have a CRM that has it? I’ll turn it on and set it up for you for free. No catch. You start catching the calls you miss, and you get to see how I work.
  • Don’t have a CRM, or yours can’t do it? I’ll set you up with an account that has missed call text back working, with the texts written for your business, for $48 a month.

Either way, tell me what you need here and I’ll call you.

If you want to go further, I also offer a free audit of your whole CRM. It shows what’s broken and what you’re paying for but not using. You can also read about the automations I build and how I handle CRM setup.

Quick answers

Is missed call text back legal? Yes, when it’s set up the right way. Register your business for texting (A2P 10DLC), keep the text about their call, and stop texting anyone who replies STOP. This is general information, not legal advice.

Will it text every missed call? Usually yes, unless you set it not to. Most systems let you skip saved contacts or only text during certain hours.

Do I need a new phone number? Not always. Your calls need to come through the number in your CRM. Many businesses keep their old number and forward it.

What if the caller doesn’t have a cell phone? Then the text won’t reach them. That’s rare, and they can still leave a voicemail.

How fast does the text send? Within seconds of the missed call, once it’s set up and your texting is registered.
