A CRM consultant for small service businesses

I set up, fix and run the CRM you already pay for, and train your team to use it.

Services / CRM and systems

The short version: a CRM consultant makes the system that tracks your leads and customers actually work, so no lead gets forgotten. I find what's broken in yours, fix what's losing you leads first, keep it running every month, and train your team to use it. You pay one flat price, never by the hour. It starts with a free audit.

A CRM is only worth paying for if your team opens it every day. As your CRM consultant, I set up or fix your CRM around the way you already take leads, book jobs and follow up, so it fits the business you have and people actually use it.

What a CRM consultant does

A CRM consultant works on your CRM system: the software that tracks your leads and customers. Not your ads, not your logo. The part where a lead comes in and either gets followed up or gets forgotten.

My CRM consulting comes in four parts. Audit: a free CRM audit, where I go through your account and show you what is broken, what is unused and what it is costing you. Fix: I repair the pieces that lose you leads first. Run: I keep it working month to month and send you a report every week. Train: I show you and your team how to use it, on your own account.

What it costs

I charge one flat price for a setup or a fix, agreed after a short call, and one flat monthly fee to keep it running. I never bill by the hour, for two reasons.

First, CRM work runs into surprises. A broken connection nobody knew about can add eight hours to a job. Paid by the hour, you would cover those hours. With a flat price, I do.

Second, when someone is paid by the hour, it's fair to wonder whether they're taking their time. With a flat price, I have every reason to finish quickly, and no reason to cut corners, because I'm the one who keeps it running afterwards.

The audit is free. You see what needs doing, worst first, before you spend anything.

When to hire one

The most common reason: you paid for a setup, and you barely use it. Leads still slip through, the automations nobody understands are still running, and the monthly bill keeps coming.

Other signs: your team went back to a notebook or a spreadsheet, texts and emails land in spam, or nobody can tell you how many leads came in last month. If any of that sounds familiar, start with the free audit.

I'm rarely the first person they hire

I'm almost never the first person someone hires. Most went cheap first: someone off Upwork, dirt cheap. A month later the connections break, nobody's maintaining it, and everything stops working. Some have been through five people before they get to me.

That's the gap I fill. I don't build it and disappear. I fix it, keep it running every month, and send you a report every week, so you always know it's working.

Been burned once already, or five times? Start with the free audit. I'll show you exactly what's broken before you spend a dime.

Which CRMs I work with

Whichever one you already have. You don't need to switch to work with me.

Plenty of owners aren't sure which CRM they're on. Agencies often put their own name and logo on the software, so it looks like their product. That's fine: on the audit form, pick "Not sure", and I'll work it out when I look at your account. If it's one I haven't worked in before, I'll tell you before you pay anything.

Why it usually fails

Honestly sometimes it fails just because the team wasn't trained properly or at all. How are you going to use it if you don't know how?

  • Leads come in from calls, forms and ads and end up in three different places, so some never get a reply.
  • The account was built from a template for a different kind of business, and half of it does not apply to you.
  • Email and texting were never set up properly, so messages land in spam or do not send at all.
  • Nobody was shown how to use it, so the team went back to a notebook and a spreadsheet.

The problem usually isn't the setup. It's that nobody owns it afterwards. So whoever you hire, me or anyone else, ask them:

  • Who fixes it when something breaks next month?
  • What happens when a connection stops working?
  • Will you show my team how to use it?

Why mine works

That's why I do live call trainings and give custom SOPs for the systems in place.

  • Map how a lead becomes a paying customer in your business before building anything.
  • Set up contacts, custom fields and tags so every lead carries the details you need.
  • Build the pipeline, calendars and forms that match your real process.
  • Set up your email sending domain and texting registration so messages are delivered.
  • Bring over your existing contacts and clean up duplicates.
  • Walk you and your team through using it, on your own account.

A report every week

Whatever I'm building or running for you, you get a report every week: what was done, what it changed, and what's next. You never have to ask where things stand.

Questions

How long does a setup take?

It depends on how much there is to build and how quickly I can get answers from you. After a short call I can tell you what your setup involves and how long I expect it to take.

My CRM is already half built. Do I have to start over?

Usually not. Ask for the free audit first. I go through what you have and tell you what is worth keeping, what needs fixing and what to remove.
